Is Your Fleet Outgrowing Your Spreadsheet? How Outsourced Fleet Management Works

Outsourced fleet management means handing the day to day running of your company vehicles to a specialist partner, so renewals, compliance, maintenance and driver administration are handled for you rather than squeezed in around someone’s day job. It suits businesses from a handful of vehicles up to around 300, across cars, vans and grey fleet.

Most fleets start the same way. Someone in HR, finance or operations ends up “looking after the cars” alongside their real job. A spreadsheet appears. It works for a while, then the fleet grows and the spreadsheet quietly becomes the most fragile part of the business.

If that sounds familiar, this guide explains what fleet management involves, the warning signs that you may have outgrown doing it yourself, and how we can take it off your plate.

What does fleet management actually involve?

Fleet management is the process of overseeing your vehicles from the day you choose them to the day they leave the fleet. That covers sourcing and funding, delivery, maintenance, mileage, driver checks, compliance, replacement and disposal. Our Fleet Management Explained guide walks through the full lifecycle in plain English.

None of it is difficult in isolation. The trouble is volume and timing. One missed MOT is an inconvenience. Twenty missed dates across a growing fleet is a risk to your drivers, your budget and your reputation.

Five signs you have outgrown managing it yourself

  • Renewals arrive as a surprise. Contracts expire, decisions get rushed, and you end up with a vehicle you did not really choose.

  • Nobody can say when each licence was last checked. If the answer lives in one person’s inbox, it is not a process.

  • Excess mileage charges appear at the end of a contract. Mileage that is not monitored cannot be adjusted while there is still time to do something about it.

  • Grey fleet is a blind spot. Employees using their own cars for work still create duty of care responsibilities for you, and they are easy to overlook.

  • One person holds it all in their head. When they are on holiday, or leave, the knowledge goes with them.

If you recognise two or more of these, it is worth having a conversation.

What we take on for you

We act as your dedicated fleet partner, with one point of contact who knows your fleet rather than a rotating call centre. Depending on what you need, that can include:

  • Vehicle sourcing and funding, matched to each role rather than defaulting to the cheapest monthly payment

  • Maintenance scheduling, MOT monitoring and tyre safety checks

  • Mileage monitoring and driver behaviour data along with environmental reporting

  • Driver licence checking

  • Grey fleet oversight, including insurance and roadworthiness checks

  • Renewal planning well ahead of contract expiry

  • Fuel and charge card management, with clear reporting on spend

  • Fleet policy reviews, plus advice on duty of care, telematics and short term hire where they suit your operation

And if one of your vehicles is off the road for any reason, we can arrange a suitable replacement so your team stays mobile.

Cars, vans and grey fleet under one approach

Real fleets are rarely tidy. You might have directors in company cars, engineers in vans and a sales team using their own vehicles. We manage the mix under one consistent approach to compliance and administration.

On the funding side, we are a whole of market broker. For cars, that usually means Business Contract Hire through our Business Car Leasing service. For vans, see Business Van Leasing. If you are weighing up other routes, our Business Car Finance page compares the options side by side.

Fleet management and salary sacrifice

If you run, or are considering, a salary sacrifice car scheme, fleet management and salary sacrifice fit together well. Every employee on the scheme brings questions, changes and paperwork, and the volume grows quickly. Having the same team handle both means drivers get consistent answers and your HR team gets its time back.

Start with our Salary Sacrifice page, try the Salary Sacrifice Calculator, or read the HR Benefits page if you are the person who would run the scheme internally.

Planning the move to electric

Electric vehicles can make a lot of sense for a fleet, but only for the right drivers. The sensible starting point is how your vehicles are actually used: daily mileage, journey patterns and where each driver can charge. From there, a phased rollout almost always works better than switching everything at once.

Fully electric vehicles currently attract a Benefit in Kind rate of 4 percent for 2026/27, the lowest of any fuel type, which is one reason the conversation has moved up so many agendas. Our Electric Vehicle Guide covers the practicalities, and Electric Vehicle Leasing shows what is available.

Independent, and open about how we are paid

We are not tied to one manufacturer or funder, so our recommendations are based on what suits your business. VCEA is a broker, not a lender. We do not currently charge a separate standalone fee for fleet management, but we may receive commission from funding partners, and that is always disclosed before you proceed. You can read more on our commission disclosure page, and see why clients choose us on Why VCEA and Testimonials.

What outsourcing does not change

Handing over the administration does not hand over your legal responsibilities. As an employer, you remain responsible for making sure your policies, vehicles and drivers meet the requirements that apply to your operation. What we do is give you a structured, consistent process, with clear ownership and a record you can point to.

Local to East Anglia, available across the UK

We are based in Peterborough and have more than 20 years of experience supporting businesses across the region. If you are looking for a local partner, see our pages for Peterborough, Cambridge, Norwich, Kings Lynn and the wider East Anglia area. How to get started

  1. Tell us about your fleet. How many vehicles, what mix of cars, vans and grey fleet, and where the pain points are.

  2. Receive a tailored recommendation. A plan built around your fleet, not a generic package.

  3. We take on the detail. Compliance, maintenance, mileage and driver checks handled from day one.

  4. Ongoing support. Regular reporting and a consultant who stays with you as the fleet changes.

The simplest first step is a phone call. Ring us on 01733 836563 and we will talk through your fleet, or visit our Fleet Management page for more detail.

Fleet management FAQs

What is outsourced fleet management?

It is a service where a specialist partner looks after the day to day running of your vehicles, including renewals, maintenance coordination, mileage monitoring, licence checks and compliance records, so your own team does not have to.

How big does my fleet need to be?

There is no minimum that makes it worthwhile. It works for a few company cars through to fleets of around 300 vehicles. Many SMEs find the need arises somewhere between five and fifty vehicles, when the spreadsheet stops coping.

Can you manage vans and grey fleet as well as cars?

Yes. We manage any mix of cars, vans and grey fleet under one consistent approach. See Business Van Leasing and Business Car Leasing for the funding side.

What happens if one of our vehicles is off the road?

We can arrange a suitable replacement vehicle so your team stays mobile while the original is repaired or replaced.

Do you charge a separate fee for fleet management?

We do charge a fee and each client has a bespoke package built to there specification.

Does outsourcing remove our legal responsibilities?

No. We can organise and manage fleet processes, but your business remains responsible for ensuring its policies, vehicles and drivers comply with the requirements that apply to your operation.

Can fleet management work alongside a salary sacrifice scheme?

Yes, and the combination is particularly effective as the number of employees on the scheme grows. Read more on our Salary Sacrifice page.

Can you help us move to electric vehicles?

Yes. We look at mileage, journey patterns and charging access first, then help plan a phased transition. Our Electric Vehicle Guide is a good place to start.
